IRHS Baseball Booster Club Meeting Minutes

Booster Club - Old Business
  • Purchased Lawnmower. Total was $698.09. $300 less than max. Cuts down to 1", which is what Coach Teadt wanted.
  • Andrea was able to get baseballs donated, saving at least $350.​

Coach Teadt Update
  • For Spring gear Coach asked the players what items they want – they said three shirts instead of two, two shorts instead of one. Varsity will be getting cage jackets and a duffle bag (per feedback from players.) High end of cost for all Spring gear will be roughly $12K.​​

  • Both JV and Varsity will participate in the Cancer Awareness game this year. The players designed this year’s jersey which can be personalized to include a name. This year’s jersey will be better quality than last year but only available to players. Parents can purchase fan gear via the gear store that will open soon.​​

  • August 14th is the player/parent meeting at 6:30pm
  • First week of September open field and weight lifting starts on Mondays, Wednesdays, and Thursday. Fall ball we will be doing only tournaments – players will be by invite only. We will know schedules three week in advance, cost will be under $100 or less for each tournament, and tournaments will be in the Tucson area.
  • Working on swag store. 
  • District approved $10 per kid meal reimbursement.
  • For the Spring there will only be two teams – Varsity and JV.​​​

New Business
  • Clarified Bylaws and proposed the following modification:
    • Discussed Article II Membership, Section 2.01-Qualification, 2.02-Rights & Responsibilities, 2.03 Quorum and proposed the following modification
      • Encourage all baseball parents to come to booster meeting and vote. Better communication on scheduled meetings.
      • Membership and Voting Rights/Procedures/& Amendment from a quorum of 10 to a quorum of 8  (to be voted on).
    • Discussed Article III Executive Board, Section 3.05-Action Without a Meeting and proposed the following modification:
      • Change Section 3.05 to Action with or without a Meeting - Booster Club may take action outside of a board meeting if the President bring action to a vote. Booster Club will vote via GroupMe using a polling system.​

  • Jeff will motion the following immediate items to Booster Club Executives to vote via GroupMe using polling system:

  • 2 New Hitting Mats
  • New Batting Turtle Liner
  • Lights for Bullpen on Catchers Side
  • Website Enhancements  (yearly)

Treasurer's Report:
  • Angel has been familiarizing herself with the financials.
    • Identified FrontStream deposit as workplace employee giving campaigns. Currently Tina’s company participates in this.
    • Jeff to go to Wells Fargo and transfer account into his name with emails going to [email protected].
    • Jeff to discuss merchant account with Wells Fargo. Because we are set up with Square, we believe we already have this.
    • Anticipated expenses that will come up next fall/winter before fundraising dollars come in will be to pay for the Umpires for Arthur Pack Baseball Tournament. Approx. $3k-$4k. Just need to be mindful of this as we approve expenses.

Secretary's Report:
  • Kristin (Asst. Secretary) has been working on updating booster club website and has added the following functionality to make site more informative and user friendly.
  • Enhancements made:
    • Responsive calendar on home page with upcoming game and practice schedule. Sync individual events to your external calendar on phone or computer. Share events via text or email. Linked address to map. Collect event registration and manage registered lists.
    • Parent/Player/Booster Club meeting minutes will be posted for everyone to see.
  • Warden Physique-ask parents if someone can go take pictures of boys working out with Alex Warden to put together a shout out for social medial/website to thank for their volunteer efforts in the gym with boys. 

Other:
  • Tina suggested sharing google username and password with Executive Board so that everyone has access to google drives, email, etc and can help manage.
